Teamline, Inc. ("Teamline", "we", "us", or "our") is a Delaware corporation that operates the website https://www.teamline.ai (the "Website") and provides Teamline services, including integrations with Slack, Microsoft Teams, Google, Atlassian Jira, and related platforms (collectively, the "Services").

This Privacy Policy explains how we collect, use, disclose, and protect personal information when you access or use our Services. This Privacy Policy is incorporated by reference into our Terms of Use. For workspace and organizational data, Teamline acts as a data processor on behalf of the customer organization, and as a data controller for its own business operations such as account management, billing, and marketing communications.

1 – Scope of This Privacy Policy

This Privacy Policy applies to personal information we collect:

- When you visit or interact with the Website;
- When you create or manage a Teamline account;
- When you connect third-party platforms or integrations;
- When you communicate with us or our support team.

If you provide us with personal information about other individuals (for example, teammates), you confirm that you have the authority to do so and that the information will be used solely for the purposes described in this Policy.

2 – Information We Collect

A. Information from Integrated Platforms

When Teamline is installed or authorized within a workspace or organization, we receive limited information from the applicable platform APIs.

Workspace / Team Information:
- Workspace or team name
- Workspace avatar or logo
- Approved email domain(s)
- Channel names, topics, and purposes

User Information:
- Username or display name
- First and last name
- Profile photo or avatar
- Time zone
- Email address

This information is used to operate the Service and to generate summaries, reports, and automation visible only to authorized members of your workspace. Authentication via Slack, Microsoft, or Google also provides similar profile information to create and manage your Teamline account.

B. Messages and Interactions with the Teamline Bot

We store messages and responses that are intentionally sent to the Teamline bot, including direct messages to the bot, responses during bot-led dialogs, and mentions directed to the bot. We do not store or monitor general platform messages that are not explicitly directed at Teamline.

C. Information You Provide Directly

Account and Profile Information: You may provide contact details, preferences, and administrative settings when configuring your account.

Support Communications: When you contact support, we collect information necessary to assist you, such as descriptions of issues, screenshots, logs, or other materials you choose to provide.

Website Content and Feedback: We collect information you submit through forms, surveys, feedback tools, or other interactive features on our Website.

D. Billing Information

Payments for paid plans are processed by our third-party payment provider, Stripe. Teamline does not store or process credit card numbers or payment credentials. Stripe handles all payment data in accordance with its own security and compliance standards.

E. Information Collected Automatically

Usage Data: We collect information about how you use the Services, such as feature usage, interaction patterns, and aggregate activity metrics.

Device and Connection Information: We may collect IP address, browser type, operating system, device identifiers, and approximate location (derived from IP address) to improve performance, security, and user experience.

Cookies and Similar Technologies: We use cookies and similar technologies to operate the Website, analyze usage, and improve functionality. You may disable cookies in your browser settings, but some features may not function properly. See our Cookie Policy for more details.

F. Third-Party Integrations

When you enable integrations (such as Atlassian Jira or custom APIs), you authorize Teamline to access and process relevant data from those services strictly to provide the requested functionality. The data accessed may include authentication tokens (OAuth) and business data such as tasks, workflow items, or activity records. Integration data is handled in accordance with this Privacy Policy.

3 – How We Use Information

We use the information we collect to:

- Provide, operate, and maintain the Services;
- Authenticate users and manage accounts;
- Generate reports, summaries, timelines, and automation for your workspace;
- Communicate with you regarding the Services, including onboarding and support;

Use of Artificial Intelligence

Teamline uses artificial intelligence ("AI") features to support automation, analytics, and reporting within the Services. These AI features may:

- Analyze task-related data to match user responses with existing work items;
- Build vector-based indexes of tasks from connected integrations to support timelines and summaries;
- Classify completed tasks to estimate expected execution time;
- Generate analytical insights based on task metadata.

The data processed by AI features may include task titles, descriptions, statuses, deadlines, estimates, assignees, and other non-personal workflow attributes.

Personal data is not intentionally included in AI prompts. Teamline applies filtering and minimization measures to remove or mask personal data before sending information to third-party AI service providers.

Teamline uses third-party AI infrastructure providers, such as OpenAI, solely to process data on our behalf and under contractual obligations. AI service providers may change over time, subject to equivalent or stronger data protection obligations. We do not allow AI providers to use Customer Content to train their models.

We do not use Customer Content for advertising purposes and do not sell personal data.

4 – How Information Is Shared

We share personal information only as necessary to operate the Services.

Service Providers: We use trusted service providers for infrastructure and operations, including:

- Amazon Web Services – hosting;
- MongoDB Atlas – database hosting;
- Stripe – payments.

These providers process data only on our behalf and under contractual confidentiality obligations.

Legal Requirements: We may disclose information if required to comply with applicable law, legal process, or governmental requests, or to protect the rights, safety, and security of Teamline or others.

Business Transfers: If Teamline is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction. We will provide notice where required by law.

5 – Public Information

We may publicly reference customer or team names and logos (with prior consent or contractual permission), and limited user profile information such as name and avatar when displaying case studies or testimonials. We do not publicly disclose private messages, reports, or responses submitted through the Services.

6 – Data Storage and Security

We host data primarily in the United States and apply reasonable administrative, technical, and organizational safeguards to protect personal information.

We retain personal information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements.

- Account data is retained while your account is active and for a reasonable period afterward.
- Workspace data may persist after individual user deactivation to preserve team records.
- Marketing preferences are retained until you opt out or no longer engage with communications.

Where possible, data is anonymized or deleted when no longer required.

Depending on your location and applicable law, you may have certain rights regarding your personal information, including the right to:

- Request deletion or erasure of your personal information;
